Getting started
Q. What is KURAPRO?
A. KURAPRO is a cloud inventory management system for small and mid-sized businesses, stores and on-site teams. You can use it from PC, smartphone (iOS / Android) and tablet to register products, record inbound/outbound/stocktaking, calculate stock automatically, tally cost and gross profit, and get stock alerts — all in one place. → What you can do with KURAPRO
Q. How long does it take to get started?
A. Account registration takes about 5 minutes, and you can start right away. No dedicated equipment to buy or install — just use the browser on your existing smartphone or PC, or the app.
Q. Can I try it for free?
A. Yes. There is a free plan that lets you use the basic features for up to 50 products and 1 user. Try it for free first, and switch to a paid plan when you need more.
Q. Do I need a dedicated machine or barcode reader?
A. No. Your smartphone camera works as a barcode scanner as-is, so there is no need to buy a dedicated handheld device. → CSV, barcode & images
Pricing, plans & payment
Q. What are the plans?
A. In addition to the free plan, the paid plans are Starter, Business and Premium. Plans differ in the maximum number of products, users and sites, and all paid plans include every feature. Please check the pricing table on the official site for the latest amounts and limits.
Q. Does “number of products” mean the quantity in stock?
A. No. It refers to the number of distinct product types (items) you can register, not the quantity in stock. For example, even with 10 “T-shirts (white, size M),” that counts as 1 product.
Q. Can I upgrade from the free plan to a paid plan?
A. Yes. You can change your plan anytime from the admin screen (“More” → “Plan”). Your accumulated data carries over as-is. → Company settings
Q. What if I run out of products or users?
A. Besides moving to a higher plan, you can add just the number of products, users or sites you need with add-on options.
Q. Can I have multiple sites (warehouses/stores)?
A. Yes. The number of sites you can have depends on your plan: Starter allows 1, Business 3, and Premium 5. To add more, you can raise the limit with the “Additional sites” add-on option. → Site management
Q. What payment methods are available?
A. In addition to credit cards, Apple Pay and Google Pay are supported. Payments are processed by Stripe, which holds the world’s highest-level security certification (PCI DSS Level 1), so your payment information is rigorously protected.
Q. Can I cancel anytime? What happens to my data?
A. Yes, you can cancel anytime from the admin screen. Canceling a paid plan does not delete your data — your account is simply downgraded to the free plan and your data is kept. If your usage exceeds the free plan’s limits, a limit alert appears when you try to add new work. If you subscribe again, you can continue using your existing data as-is.
Inventory basics
Q. How does stock increase and decrease?
A. When you record a task — inbound, outbound, adjustment, stocktaking and the like — stock changes automatically. You can register a task as a “plan” and “complete” it after the work is done to reflect it in stock. → Tasks (inbound, outbound, move, adjustment, stocktaking)
Q. What is the difference between inbound, outbound, move, adjustment and stocktaking?
A. Inbound increases stock (e.g. purchasing), outbound decreases it (selling, disposal), move transfers stock to another location within the same site (location enabled only), adjustment records a change directly (e.g. rounding), and stocktaking lets you enter the actual counted quantity and auto-matches the difference. → Tasks
Q. How do I do a stocktake?
A. In a stocktaking task, just enter the actual stock count you counted. KURAPRO automatically calculates the difference from the current stock and matches it. You don’t need to work out the increase/decrease yourself.
Q. Can stock go negative?
A. This is controlled by the “Negative stock” company setting. The default is “Do not allow,” so an outbound that exceeds stock cannot be completed. Switch to “Allow” to complete tasks that take stock below zero. → Company settings & negative stock
Location, lot & expiry
Q. Can I manage stock by lot number?
A. Yes. Enabling lot lets you track the same product separately by lot, for unit-level traceability by manufacturing number. → Stock fields (location, lot, expiry)
Q. Can I manage stock by expiry (best-before) date?
A. Yes. Enabling expiry lets you track the same product separately by date — useful for first-in-first-out and for spotting stock before it expires. Expired stock also appears in stock alerts.
Q. Can I manage multiple warehouses and stores together?
A. Yes. Separate independently operated units such as warehouses and stores as “sites,” and distinguish shelves, rooms and floors within a site by enabling “location.” Both are managed centrally in real time. → Site management / Stock fields
Q. What is the difference between a “site” and a “location”?
A. A “site” is a large unit that holds its own independent inventory, so stock, tasks and reports are separated per site (products, clients and members are shared across all sites). A “location” is a stock field that shows where within a single site an item is kept (shelf, room, floor, etc.). For example, separate “Tokyo Warehouse” and “Osaka Warehouse” as sites, and manage “Shelf A” and “Shelf B” within them as locations. → Site management
Q. Do I have to use location, lot and expiry from the start?
A. No. These stock fields are all disabled by default, so you start by managing just the quantity per product. Enable only the fields you need, when you need them. To keep data entry light, we recommend enabling only the minimum necessary.
Q. How do I move stock between locations?
A. Use the Move task (when location is enabled). Specify the source and destination locations to move stock within the same site. Note that moving across sites is not supported; to move to another site, record an outbound at the source site and an inbound at the destination site. → Tasks
Cost & gross profit
Q. Can I manage cost and gross profit?
A. Yes. Choose between moving-average and standard costing, and asset value and gross profit are calculated automatically from your inbound/outbound records. If you don’t need cost management, switch to “No costing” for quantity-only management. → Cost & gross profit
Q. What is the difference between moving-average and standard costing?
A. Moving-average calculates the average cost automatically from inbound purchase prices and fixes gross profit at the average cost at the time of outbound (past gross profit doesn’t change even if purchase prices change later). Standard costing uses a fixed standard cost set per product; changing the standard cost recalculates past report gross profit too. → Cost & gross profit
Q. Where do I enter purchase and sale prices?
A. Not on the product. Enter them as the unit price on each task: inbound = purchase unit price / outbound = sale unit price. The only price you register on a product is the “standard cost” used in standard costing.
Q. How is gross profit calculated?
A. Gross profit = outbound amount (sale unit price × quantity) − total cost of the stock that went out. The cost follows your chosen costing method (moving-average or standard). → Reports
Barcodes & scanning
Q. Does it support barcode-based inbound/outbound?
A. Yes. Scan a barcode with your smartphone camera to add a product to a task (inbound, outbound, etc.). No dedicated handheld device required.
Q. Can I register multiple barcodes on one product?
A. Yes. You can register multiple barcodes — JAN, ITF, your own codes — on a single product. However, the same barcode cannot be reused on a different product (it must be unique within your company). → CSV, barcode & images
Q. What about products without a barcode?
A. Use “Generate barcode” on the barcode printing screen to automatically generate and register an EAN-13 barcode. You can print the generated barcode as a label.
Q. Are QR codes supported too?
A. Yes. In addition to barcodes, scanning QR codes is supported.
Stock alerts
Q. Will it tell me when stock runs low?
A. Yes. Set a minimum stock level per product, and when stock falls below it, it appears as “low stock” in the alerts — so you don’t miss the timing to reorder or replenish. → Stock alerts
Q. Can I see overstock as well?
A. Yes. Set a maximum stock level per product, and when stock exceeds it, it appears as “excess stock” in the alerts. You can set just the minimum, just the maximum, or both.
Q. Will it warn me about expired stock?
A. Yes. Stock recorded with an expiry date appears as “expired” in the alerts once the date passes — helpful for deciding on disposal or returns. → Stock alerts
Custom fields
Q. Can I add my own management fields?
A. Yes. You can add your own custom fields to products and tasks — color, size, notes, person in charge, and anything else tailored to your industry or workflow. → Custom fields
Q. What field types can I add, and how many?
A. Text, multi-line text, number, and date (plus barcode for tasks). You can add up to 30 product fields and 10 task fields. Text-type fields are also included in search. → Custom fields
Data migration, CSV & images
Q. Can I import data from my current Excel or another system?
A. Yes. Bulk import via CSV file is supported. Export to CSV from your current system or Excel to migrate product, client and task data. UTF-8 encoding is recommended. → CSV, barcode & images
Q. Is CSV import/export available on the free plan?
A. CSV import/export is a paid-plan feature. You need to upgrade to a paid plan to use it.
Q. Can I register product images?
A. Yes. Upload images from the product registration/edit screen, and they appear in lists and detail views. Formats such as JPEG, PNG and GIF are supported.
Members, permissions & sharing
Q. Can multiple people share the data?
A. Yes. Invite members to the same company to share and co-manage product, stock and task data in real time. → Member management
Q. Can I set different permissions per member?
A. There are two roles, admin and general member. General members can do everyday work (registering and editing products, stock, tasks and clients), while company settings, member management and payment management are admin-only. → Member management
Q. How do I add a member?
A. An admin enters the name, email address and role on the “Members” screen and sends an invitation email. The invited person can sign in with the temporary password delivered by email.
Devices, account & sign-in
Q. What devices can I use?
A. PC (browser), smartphone and tablet (browser or the iOS / Android app). Sign in with the same account and you can work with the same data on any device. → What you can do with KURAPRO
Q. Can I use it on my phone and PC at the same time?
A. Different kinds of devices, such as a smartphone and a PC, can be used at the same time. For the same kind of device, only one can stay signed in — signing in on another device of the same kind signs the previous one out.
Q. What if I forget my password?
A. From “Forgot your password?” on the sign-in screen, you can send a temporary password to your registered email address. After signing in with it, set a new password in account settings. → Account & sign-in

Q. Can I use it for food and beverage inventory?
A. Yes. Enable expiry (best-before) date to separate stock by date for first-in-first-out and to prevent expiry. Expired stock also shows up in stock alerts. → Stock fields
Q. Can I use it for pharmaceuticals and cosmetics?
A. Yes. Combining lot and expiry supports lot-level inventory management, use-by management and traceability.
Q. Is it suited to manufacturing and materials management?
A. Yes. With stock management by location and lot, reorder-point alerts via minimum stock levels, and cost management, it helps keep the right level of parts and materials.
Q. Does it work for e-commerce, retail and apparel?
A. Yes. With barcode scanning for inbound/outbound, centralized management of multiple sites (warehouses/stores), and custom fields such as color and size, it works for online shops, stores and apparel inventory.
Security & data protection
Q. Is my data backed up?
A. Yes. We operate on AWS with 24/7/365 monitoring and automatic backups.
Q. Is communication encrypted?
A. Yes. All communication is encrypted with SSL/TLS (HTTPS). On top of running on AWS, we protect your important data with access control and regular security audits.
