Tasks (inbound, outbound, adjustment, stocktaking)
This page explains how to register tasks that record stock changes, and how to use the states (plan / completed). Tasks are registered from the "Tasks" screen (tab).
The four task types
| Type | Effect on stock | Unit price input | Main use |
|---|---|---|---|
| Inbound | Increases | Purchase unit price | Purchasing, accepting returns |
| Outbound | Decreases | Sale unit price | Selling, disposal |
| Adjustment | Records the change directly | None | Rounding adjustments, gains/losses, moving between locations |
| Stocktaking | Matches to the actual stock count | None | Physical stocktaking (difference auto-calculated) |
- Inbound: you can enter a purchase unit price, and in moving-average costing the average cost is calculated automatically.
- Outbound: you can enter a sale unit price, which is used to calculate gross profit.
- Adjustment: record the change directly as "increase" or "decrease." There is no unit price.
- Stocktaking: enter the actual stock count you counted, and the difference with current stock is calculated automatically. There is no unit price.
About the removal of the "Transfer" task
The "Transfer" task in older versions has been removed. To move stock across locations, record a "decrease" and an "increase" with Adjustment (when location is enabled).
When the unit price field doesn't appear
When the costing method is "No costing," the unit price fields for inbound/outbound are not shown (because amounts and gross profit aren't managed).
Plan and completed
A task has two states.
| State | Reflected in stock |
|---|---|
| Plan | Not reflected (planning stage) |
| Completed | Reflected |
The recommended workflow is to register as a "plan," then "complete" it after execution to reflect it in stock. If you "revert a completed task to plan," its reflection in stock is also undone.
About editing completed tasks
You can edit a task's products (line items) only while it's a "plan." To fix the contents of a completed task, you first need to "revert to plan" (you'll see "You cannot edit products in a completed task").
Registering a new task
- On the "Tasks" screen, press "Register task."
- Choose the task type (inbound, outbound, adjustment, stocktaking).
- Enter the date.
- Enter the product and quantity (for inbound/outbound you can also enter a unit price).
- Enter the following as needed.
- Client (inbound/outbound only)
- Location, lot, expiry (shown only when stock fields are enabled)
- Task custom fields (if your company has set them up)
- Choose the state (plan / completed) and save.
You can also add products by scanning a barcode.
About duplicate registration of the same product
Within a single task, you cannot register exactly the same combination of "product, location, lot, expiry" as two separate rows. Combine the quantities into one row (you'll see "The same product is registered multiple times in the task").
When stock would be insufficient
When negative stock is set to "Disallow," you can't complete a task that would make the stock negative afterward.
Example solutions:
- Check the stock count (match it to the actual count with stocktaking).
- Replenish stock first with an inbound.
- Revise the quantity.
If you really want to allow negatives, an administrator changes negative stock to "Allow."
Bulk import tasks via CSV
You can import tasks in bulk via CSV (for paid plans).
- Choose the task type to import.
- For stocktaking, you enter the "actual stock count," not the "change amount" (the difference is auto-calculated).
- Specify existing products by product name or SKU (products are not newly created from CSV).
For details, see CSV, barcode & images.
